• Resolves problems, prepares schedules, and enforces deadlines set by the Project Manager to ensure timely completion of work.
• Periodically inspects work in progress for quality and accuracy and reports findings back to the Project Manager.
• Perform any other duties as assigned to assist project managers. 
• Implements systems to track project costs monthly throughout the construction lifecycle and regularly updates cost tracking tools and reports.
• Executes strategies to increase productivity, quality, customer satisfaction, and employee effectiveness/satisfaction/recognition.
• Provides recommendations to improve methodologies, mitigate negative impacts, and maximize potential opportunities.
• Improves organizational capabilities through effective performance management and resource utilization.
• Collaborates with project managers and estimators to compile and organize all relevant bid documents (drawings, specifications, scopes of work, schedules, and required documents) into comprehensive bid packages.
• Ensures bid documents are accurate, complete, and compliant with project requirements and regulations.

• Associate’s degree in construction management, engineering, or a related field required.
• Bachelor’s degree in construction management, engineering, or a related field, preferred.
• 2-4 years of experience in project management, or in a related role.
• Working knowledge of construction processes, methods, and best practices.
• Proficient in the Microsoft Office Suite and project management software.

Job Responsibilities:

• Conduct consistent follow-up phone calls with subcontractors to confirm receipt of bid invitations.
• Call subcontractors to confirm participation in bidding and gather status updates on their bids.
• Build and maintain relationships with subcontractors and suppliers.
• Prepare, send, and track bid invitation lists, ensuring all invitees are followed up with until responses are received.
• Maintain accurate and detailed records of bid responses, updates, and communications to support the estimating team.
• Track responses from invitees and update bid lists throughout the process.
• Update and maintain the current bid schedule.
• Attend pre-bid meetings as required.
• Organize bid packages as needed.
• Assist in addressing questions, requests for clarification, and inquiries related to bid packages.
• Ensure the estimating effort is fully supported by keeping subcontractor and vendor participation active throughout the bidding process.
• Assist the Estimator with administrative duties in proposals and estimates.
• Obtain accurate material costs.

• Associate degree or equivalent from two-year college or technical school required.
• Bachelor’s degree from a four-year college or university preferred.
• 1-2 years of experience in construction, estimating, or related roles. 
• Prior experience in concrete, general contracting, or commercial landscaping preferred.
• Working knowledge of Excel, Bluebeam, OST, and other construction software.
